Quick
Search: Basic parts
search, by part number. Separate each part number by a space or comma.
Advanced
Search: Partial
number parts search, or search by category and manufacturer.

Advanced Search
Advanced Search allows you to search
for a part number by using the incomplete information that you have. In the box
provided, enter as much of the part number that you know.
By entering only the first few digits
of the part number that you know, all part numbers closest in sequence to that
which you have entered would come back.
To narrow down your search, you may choose a category from the pull down
menu, (hard drive). In addition, you may further narrow down your search by
specifying a manufacturer.
For example, if you choose “hard drive”
and then specify “Compaq”, only Compaq hard drives would appear in your search.
But if you only choose “hard drive”, and you do not specify a manufacturer,
then all hard drives by IBM, Compaq, and Toshiba would appear.
You may display as many line items
per page as desired by changing the quantity box.
You may limit your search to the items on hand by placing a check mark in
the box.

To eliminate any unwanted part numbers
from your Search, remove the check mark under “Keep” for any part and press
update.
At any time within the search module
you have the option to convert your search to either a quote or an order simply by pressing on either the “Quote” or “Order” buttons in the
upper right hand corner of your screen. You may update or clear your search at
any time.
PLEASE REMEMBER THAT BIOS OPERATES IN A
REAL TIME ENVIRONMENT. Therefore, we cannot
stress the importance of updating your search since availability is subject to
change instantly.
You may access the Quote module from either the Main Menu or
from converting your search to a quote. The difference
between a quote and a search is that quotes are saved and filed in your Quote
History file located through the Archives Menu, so that you may retrieve a
quote at a later date and convert it to an order, if you desire.
If you need help ascertaining a part
number, we will link you to the help lines at IBM, COMPAQ, AND TOSHIBA from the
Menu Options located in the upper right hand corner of your screen.

Place one part number per line or
Cut-and-Paste from a spreadsheet. Press GO

Results are displayed immediately,
including price, quantity, and availability. If you need a quantity greater
than that which we have available, enter the amount you need in the quantity
field. Your request will be automatically e-mailed to a Big Blue Sales
Representative. Upon receipt of your request, every effort will be made to
locate the quantity that you desire and you will be notified immediately of
availability.
You
may update, clear or finish your quote at any time,
simply by clicking on those choices in the upper right hand corner of your
screen. You may also
convert your quote
to an order at any time. If you do so, you will be brought to the order
screen where you must complete all billing and shipping information within
30 minutes.

Press Finish and Done to complete your quote.
PLEASE
REMEMBER THAT BIOS OPERATES IN A REAL TIME ENVIRONMENT. Therefore,
we cannot stress the importance of updating your quote since availability is
subject to change instantly.

Your quote has been
submitted. It has been numbered and will be filed in your Quote History file
for future reference. You can access your finished quotes by
going back to the Main Menu,
clicking on the Archives Menu and then on Quote History.
If you choose to search for
more parts at this time, click New Parts Search and you will be brought back to
the search module. If you would like to
place an order, click Create Order, and you will be brought to the Order
screen. You may View Quote and print a
copy for your records.
The last feature on this
screen is Request Target Pricing. B.I.O.S.
offers the capability to negotiate online.
How to
Negotiate Online and Retrieve Your Updated Quote
Press
“Request Target Pricing.” This feature is
available once you have finished a quote. For your convenience we have also
incorporated it in the Quote History file located through the Archives Menu. If
you are selecting a quote from history, we encourage you to update and then
make your request based on availability.

In the New Price box provided, enter your target price
that you would like Big Blue to try and meet. You may write any additional
comments in the box below. Press Send.
Your request is instantly e-mailed to a
Representative who will get back to you immediately with a response
electronically. The online response time for this transaction is approximately
two minutes. We recommend that you
print a copy of each Target Price Request and attach it to the corresponding
quote.

Need To Find a Quote
You
can access your finished quotes by going back to the Main Menu, clicking on the
Archives Menu and then on Quote
History.
Click
on the quote number that you are inquiring about and make a selection from one of
the following options: View, Delete,
Update Quote, Target Pricing, and Create Order.

You may place an order at any time from
the Main Menu, the Search Module, and the Quote Module.
In the box provided, type in the part numbers
of the parts you wish to order. Press GO.

Once you have entered your part
numbers, those parts are committed to you until the time of completion of your
order. You have 30 minutes to complete your order. You may update, clear, or search at
any time from this module.

Note: The item in red indicates a backorder
status. Fulfillment of the backordered
item
is not guaranteed.

You may choose to backorder product,
however: BIG
BLUE CANNOT GUARANTEE PRICING AND AVAILABILITY ON BACKORDERS. Please read our
backorder terms and conditions before completing your order. Items that are backordered are highlighted.
Press Continue to advance to
the billing and shipping portion of your order.

Big
Blue will ship your order to a Default Shipping Address, Blind Ship To Address,
Double Blind Ship To Address or an Alternate Ship To Address.
See
the explanation of each type below:
Default
Shipping Address
This
is your company’s default address. You may edit this address at any time from
the default address field, but those edits will be temporary.
Blind Ship To
Addresses
Blind
shipments generate a packing slip with your company’s return address.
Double Blind Ship To Addresses
Double
Blind shipments generate a packing slip with the ship to address only. The
packing slip does not specify a return address.
Alternate Ship To Addresses
Alternate
shipments are shipments going to another location of your company.
Choosing and Loading an Address:
To
choose an address without scrolling, simply enter the Customer Code of the
customer in the box provided. The address will appear instantly in the “Ship
To” portion of your order. If you need to add a
reference number, you may press EDIT and add in the additional information
after loading an address. Keep in mind
this is a temporary edit. Press continue after adding the additional
information. DO NOT press reset, this
feature reloads the default address and will omit all loaded/edited information.
If
you prefer to scroll through the address database, highlight the address you wish to use and
press Load. The address will appear instantly in the
“Ship To” portion of your order.
If you do not find the address that you would like ship to, click
Add under the appropriate database and fill in the data entry form with your
customer’s information.

You
may edit any of these addresses permanently, at any time, by selecting the
customer and pressing Edit. After making the changes, press SAVE.
How
To Create a Blind, Double Blind or Alternate Address:
Click
ADD under “Blind Ship To Addresses” or
“Alternate Ship To Addresses” and you will be brought to the Add/Edit Address screen.

Using
the down arrow select the type of account you
are adding.
Enter a Customer Code
(be sure to read our Customer Code instructions carefully before adding any new
addresses to your database). We suggest using the first 3 characters of the
company name, a hyphen and then the zip code; (ABC –12345)
Continue to type in the information, as you would like it to appear
on the packing slip. You may also enter your customer’s shipping
account numbers. The account number must be entered for every type of
service for a specific carrier. Press Save.
If
you are in the middle of an order, the information will be pulled into the
shipping field. If you are adding a new
account from the Maintenance Menu, the new customer will be added to your
database for future use.
Purchase Order – Carrier Selection

The above screen will
be displayed when you create an order being shipped to the Default Shipping
Address or an Alternate Address.
Select a carrier from
the pull down menu.
Choose the account
that you wish to bill from the pull down menu.
You
may manually enter an account number, your account number, your customer’s
account number or Big Blue’s account number.
If you choose to ship on Big Blue’s account, we will pass along our
discount to you and you will be billed shipping on your invoice. To see if an account number has been stored
on file, press Edit Customers Account. If
you would like to add/store account numbers, remember you must enter the
account number for every type of service for a specific carrier.

The
above screen will be displayed when you create an order being shipped to a
Blind Address or a Double Blind Address.
Enter
your P.O. number.
When
Blind Shipping you must add your customer’s P.O. number or a reference number,
as you would like it to appear on the packing slip.
Choose
a carrier from the pull down menu.
Choose
the account number you wish to bill from the pull down menu.
You
may manually enter a shipping account number, your account number, your
customer’s account number or Big Blue’s account number. If you choose to ship on Big Blue’s account,
we will pass along our discount to you and you will be billed shipping on your
invoice. To see if an account number
has been stored on file, press Edit Customers Account. If you would like to add/store account
numbers, remember you must enter the account number for every type of service
for a specific carrier.

Partially shown is a comment box
to include any additional comments or credit card information. Please check to be sure that all information has been
completed accurately. Click DONE

FOR ANY DATA YOU MAY HAVE ENTERED INCORRECTLY ON YOUR ORDER.

Congratulations! You have finished your order. It will be processed immediately and tracking numbers will
be e-mailed to the designated individual at your company as soon as we post our
invoices, generally the next business day by 10:00 AM. Your order has been
numbered and filed for future reference.
To print a copy for your records press
View Order and/or Packing Slip

Quote History: Access
all quotes, past and present, from here. You may even update expired quotes and
convert to an order.
Order History: Access
all orders here. You may view all packing slips and invoices from this
function.
Sales History: You
can keep track of your company’s sales history with in BIOS by either part
number or invoice date.

Select the quote that
you wish to view from the box provided, by clicking on the line.
View: See your
quote.
Delete: Delete your quote.
Update: Will give you
the most current pricing and availability.
Target Pricing: Click here to e-mail Big Blue with the
prices that you need to meet.
Create Order:
Be sure to update before you decide to create an order. Always remember: BIOS operates in a real time environment.

Select an Order: View your company’s order
history. Simply highlight and click on the order that you wish to view. Invoices will remain in the Sales History
file for 1 year.
View: View your order. Orders will
remain in your Order History file for 3 days for your convenience. Once the order
has been invoiced it will immediately appear in your Sales History file.
View Packing Slip:
View the packing slip that accompanied your order.
View Invoice: View your invoice. Invoice
includes shipping costs and tracking numbers.
This function is
particularly helpful in allowing you to keep track of exactly what your company
purchases. You can sort by date, invoice number, part number or purchase order
number.


From the Maintenance
Screen you may keep your accounts up to date.

Edit Addresses: Add
or edit your addresses here. Pull up the address by Customer Code, or scroll
and click on the address you wish to edit. Or you may add a new address. Please
be sure to read the Customer Code instructions carefully before adding a new
address.

User Settings:
Change all information pertaining to your account here, such as password or
e-mail address. Only your Administrator has the ability to change your level of
purchasing power, and only your Administrator has the ability to add new users
to your account.
Enter the information
that you wish to change and press Save. To change your password, simply press on the Save Password button. You
may cancel at any time.

Administration: Only
the Administrator has access to this function. Enter your Administrator
password to change the purchasing power of each individual on behalf of your
account, as well as, add and edit account and purchaser information.

Quicktrack:
To
track your package, enter your PO number and your Customer Code in the boxes
provided. Your invoice will appear. By right clicking on your mouse you may
highlight and copy the tracking number.
In the Quicktrack screen, use the Paste function to paste the tracking
number into the boxes provided by the appropriate carrier. You will
automatically be linked to the carrier’s web site where your package will be
tracked immediately.
